About the NZAGS GSET Selection Portal

The NZAGS GSET Selection Portal (https://selection.nzags.co.nz) is a specialised web-based management platform designed to facilitate the General Surgical Education and Training (SET) application process. It provides a centralised, secure pipeline for the registration, application, and assessment of surgeons and prospective surgical trainees seeking placement within the New Zealand Association of General Surgeons (NZAGS) training program.

Our Objective

Our mission is to ensure a transparent, efficient, and robust selection process. By managing clinical work history (rotations), professional credentials, and confidential referee reporting within a single environment, we ensure that both applicants and the selection committee can focus on clinical excellence and professional suitability.


Terms and Conditions of Use

1. Responsibility for Data Accuracy & Deadlines

Applicants are solely responsible for the accuracy and completeness of all data provided. Applications must be submitted by 2:00 PM NZT on the closing date specified in the current Selection Regulations. The Portal’s server time is the final authority on submission deadlines; "In-Progress" applications not submitted by this time will not be considered.

2. Document Upload Specifications

To ensure compatibility with the selection committee's review systems, applicants must adhere to the following:

  • File Security: Files must NOT be password-protected or encrypted. Encrypted PDFs will be unreadable by the committee and may lead to disqualification.
  • Naming Conventions: Avoid special characters or leading dots (.) in filenames.
  • Acceptable Formats: Documents must be provided in PDF, DOC, or image formats as specified in the upload prompts.

3. Finalisation and "Locking" of Data

Rotations: Once a rotation is validated by the NZAGS GSET Committee, it is locked and becomes read-only.
CV Sections: Applicants must manually "Finalise" their CV section. Once confirmed, this data is locked for the duration of the intake cycle.
Referee Nominations: Applicants must confirm referee willingness and supervisees status. Once the submission deadline passes, all confirmed referees are locked and cannot be modified.

4. Discretionary Overrides

Requests to unlock or "demote" an application stage following an error must be made to Platform Support. Such overrides are granted at the sole discretion of the NZAGS Committee and are not guaranteed, as per program regulations.

5. Code of Conduct

Users must not attempt to circumvent security measures or provide fraudulent information. Any detected misuse may result in immediate disqualification from the GSET program and further disciplinary action.


Privacy Policy

1. Information We Collect

We collect professional and personal data including contact details, RACS ID, work history (rotations), academic certificates, and referee nominations.

2. Data Security & Infrastructure

The NZAGS GSET Selection Portal operates on an A+ graded SSL secured webserver with enterprise-grade firewall and security protections. Our infrastructure is actively monitored, reviewed, and hardened following any changes to the system or emerging industry security standards.

3. Use of Data and MSP Access

Data is used exclusively for the GSET application process. Our Managed Service Provider (MSP) and platform administrators have access to user data and attachments strictly for troubleshooting, system maintenance, and providing technical support. No private information is extracted or shared for any other purpose.

4. Data Retention

  • Successful Applicants: Full data and attachments are retained for the duration of active engagement with NZAGS.
  • Unsuccessful Applicants: Full records are held for appeals until the following year's intake deadline, at which point attachments may be purged.
  • Persistent Data: Basic profile information (name, email, institution) is retained to facilitate reporting and streamline future applications.

5. Your Rights and Data Removal

In accordance with the New Zealand Privacy Act 2020, any user may request the removal of their personal information. Upon request, we will remove all personally identifiable information (PII). We reserve the right to retain anonymised, de-identified metrics to ensure the accuracy of our historical reporting.
